Spencer Trial Attorneys, P.C. is seeking a Probate Case Manager to join our growing team in El Paso, Texas. This is a full-time, on-site position.

The Probate Case Manager will work closely with our attorneys and legal team to help manage probate matters from intake through completion. This position requires strong organization, communication, follow-through, attention to detail, and the ability to manage multiple matters and deadlines at the same time.
Probate or estate planning experience is preferred, but we are also open to strong candidates who demonstrate excellent writing, communication, organization, judgment, professionalism, and a willingness to learn.
Compensation
- $40,000 – $45,000 annually, depending on experience
Responsibilities
The Probate Case Manager will:
- Manage assigned probate matters and help keep cases progressing efficiently through each stage
- Maintain case deadlines, tasks, hearings, appointments, follow-up items, and other important dates
- Prepare probate applications, pleadings, notices, waivers, proposed orders, correspondence, and other case-related documents under attorney supervision
- Assist with estate administrations, heirship proceedings, independent administrations, and other probate matters
- Coordinate required notices, citations, signatures, filings, service, and supporting documentation
- Communicate professionally with clients regarding case status, scheduling, document requests, and administrative matters
- Gather and organize information from clients, heirs, beneficiaries, courts, financial institutions, and other parties
- Prepare files and supporting materials for attorney review, hearings, and client meetings
- Electronically file documents with courts and maintain accurate electronic case files
- Maintain complete and accurate notes, tasks, deadlines, and case updates in the Firm’s case management system
- Monitor assigned matters for missing information, approaching deadlines, or issues requiring follow-up or attorney attention
- Escalate legal questions, unusual circumstances, and matters requiring attorney judgment to the supervising attorney
- Work closely with attorneys, case managers, legal assistants, and other team members to provide excellent client service
- Assist with estate planning, guardianship, wills, trusts, and related matters as needed
- Manage assigned workload and meet Firm performance and client-service expectations
Qualifications
The ideal candidate will have:
- 1+ year of probate, estate planning, or comparable legal experience preferred
- Strong written and verbal communication skills
- Excellent organization and attention to detail
- Ability to manage multiple matters, deadlines, and priorities
- Ability to follow instructions, take meaningful notes, retain training, and apply feedback
- Strong judgment and willingness to ask questions when clarification is needed
- Professional and compassionate client communication skills
- Ability to work independently while functioning effectively within a team environment
- Comfort using Microsoft Office and legal case management technology
- Experience with Clio or similar case management software is a plus
- Experience with Texas e-filing systems is a plus
- Bilingual English/Spanish preferred
Candidates without prior probate experience may also be considered based on their writing ability, communication skills, organizational strengths, professionalism, and demonstrated ability to learn.
